This Privacy Policy explains which personal data we collect when you use www.novus.tr, place an order, request a quote or contact us, why we use it, with whom we share it and which rights you have. We process personal data in accordance with the Turkish Personal Data Protection Law No. 6698 (KVKK) and, where applicable to customers and visitors in the European Union and European Economic Area, the General Data Protection Regulation (GDPR).

2. Personal data we collect

• Account data: name, company name, e-mail address, phone number and password (stored in encrypted form by the platform) when you create an account.
• Order and invoicing data: ordered products, quantities, prices, order history, billing address, company details and tax or VAT number where required for invoicing and customs.
• Delivery data: delivery address, contact person and phone number, shipping and tracking information.
• Payment status: whether and when a payment was received; for bank transfers, the sender name and transaction details. Card payments are processed by the bank or payment provider; we do not see or store your card number.
• Communications: messages you send us by e-mail, phone, WhatsApp or contact forms, including quote requests, return and warranty requests, and project information you share with us (such as project name, installation address or meter serial numbers).
• Technical and usage data: IP address, browser and device information, login records, pages visited and actions on the website, collected through cookies and similar technologies.
• Marketing preferences: whether you have agreed to receive news and offers from us.

4. Cookies and analytics

• Essential cookies are needed for the shopping cart, login and the secure operation of the website. They cannot be switched off without affecting these functions.
• Analytics cookies: we use Google Analytics, loaded through Google Tag Manager, to understand how visitors use the website, for example which pages are visited and how long visits last. These services are provided by Google. Non-essential cookies are used only with your consent where consent is required.
• You can delete or block cookies at any time in your browser settings. If you block essential cookies, the cart and account functions may not work.

5. Recipients of your data

We do not sell or rent your personal data. We share it only where necessary for the purposes above, with:

• IdeaSoft, the provider of our e-commerce platform, and our hosting providers
• Banks and payment service providers, for processing payments and refunds
• Carriers, logistics companies and customs brokers, for shipping and customs clearance
• Accounting, e-invoicing and financial advisory service providers
• Manufacturers, distributors or authorized service centers, where needed for warranty claims
• Providers of analytics and e-mail services, such as Google
• Lawyers and advisors, where needed to establish or defend legal claims
• Public authorities and courts, where we are legally required to do so

6. International data transfers

Novus Energy is based in Türkiye, and your data is processed in Türkiye. If you place an order from another country, your data is transferred to Türkiye so that we can perform the contract with you. Some of our service providers, for example for analytics and e-mail, may process data in other countries, including the United States. Where such transfers require it, we rely on appropriate safeguards permitted under the GDPR and KVKK, such as standard contractual clauses, or on another lawful transfer mechanism.

7. Retention

• Account data is kept for as long as your account exists, and deleted after you close your account unless we must keep it for legal reasons.
• Orders, invoices and related correspondence are kept for the periods required by Turkish commercial and tax law (commercial books and records generally for 10 years).
• Marketing data is kept until you withdraw your consent.
• Analytics data is kept for a limited period defined in our analytics settings.

When the retention period ends, data is deleted, destroyed or anonymized.

8. Security

We take appropriate technical and organizational measures to protect your data. Traffic on the website is encrypted with SSL, and only staff who need the data for their work have access to it. Please never send card numbers or passwords by e-mail; e-mail is not a secure channel for such information.

9. Your rights

Subject to the applicable law, you have the right to:

• access your personal data and receive information about how it is processed;
• have inaccurate or incomplete data corrected (rectification);
• have your data erased;
• restrict the processing of your data;
• receive your data in a structured, commonly used format (data portability);
• object to processing based on legitimate interests and to direct marketing;
• withdraw your consent at any time;
• lodge a complaint with a supervisory authority.

If you are in the EU or EEA, these rights arise under the GDPR, and you may complain to the data protection authority of your country of residence or work. Under Turkish law (KVKK Article 11), you also have the right to learn whether your data is processed, to know the third parties to whom it is transferred in Türkiye or abroad, to request that corrections and deletions be notified to those third parties, to object to a result against you arising solely from automated analysis, and to claim compensation for damage caused by unlawful processing. Under KVKK, you may complain to the Turkish Personal Data Protection Authority (KVKK) after applying to us first.
